Quotes & invoices

From quote to e-invoice — on one data foundation.

vemix unifies quoting and invoicing natively: quotes from the price catalogue or freely costed, invoices with a gapless number range and finalisation, EN16931 e-invoices (ZUGFeRD/Factur-X) — and invoices fed directly from projects and tracked time.

Capabilities

Quotes, invoices and e-invoicing (ZUGFeRD) — straight from project and time.

Quotes

Quotes with groups and line items from the price catalogue or freely costed. Salutation and address come from the CRM; the status runs from draft through offered and ordered to billed.

Invoices

Invoices with a gapless number range and finalisation under German VAT law: once finalised, the document is immutable. Cancellation and correction documents and the payment status are built in.

E-invoicing (ZUGFeRD)

Generate an EN16931 e-invoice at the click of a button: the structured XML is embedded in a PDF/A-3 (Factur-X/ZUGFeRD). Reverse charge and the small-business scheme are mapped correctly.

Invoice from project

An invoice is built from the fixed line items of ordered quotes plus the not-yet-billed time entries up to a cut-off date. Used entries are marked as billed — no double billing.

Price catalogue

A lean price catalogue with article number, unit, net price and tax rate. Line items can be pre-filled from an article or freely overridden at any time.

Layout & master data

Mandatory details such as address, VAT ID and tax number safeguard finalisation. Adjust the logo, accent colour, font and header/footer text with a live preview — the EN16931 XML stays untouched.

Integrated

Part of one continuous chain.

Quotes and invoices do not stand alone: they draw on customers from the CRM, pull effort and flat rates from projects and tracked hours from time tracking — from first contact to paid invoice.

FAQ

Frequently asked questions

Does vemix produce real e-invoices?
Yes. vemix creates e-invoices to the European EN16931 standard in ZUGFeRD/Factur-X format: a structured XML embedded in a PDF/A-3. This meets the requirements for electronic invoicing in B2B business.
How does the module connect to projects and time tracking?
An invoice from a project combines the fixed line items of ordered quotes with the not-yet-billed, billable time entries up to a cut-off date. Hourly rates are resolved via a fallback chain, and used entries and quotes are marked as billed.
Are the invoices audit-proof?
Yes. Invoice numbers are assigned gaplessly, and finalisation makes the document immutable in content (German VAT law). Corrections run through dedicated cancellation or correction documents; every change is recorded in the history.
Are the small-business scheme and reverse charge supported?
Yes. The small-business VAT exemption and the reverse-charge mechanism are mapped with the right notes and correct tax categories in the e-invoice.
